Ask any conference organiser who has run a Best Poster Award the old way and they will tell you the same thing: the science is exciting, but the judging process is a nightmare. Paper ballots feel straightforward on the surface. Print some forms, hand them to judges, collect them at the end. What could go wrong?

Where Does the Time Go?

The chart above breaks down the time cost at each stage of the judging process. The numbers are based on a typical conference scenario: 60 to 80 posters, 10 to 15 judges, and a single awards ceremony at the end of the day.

With paper, distributing scoring forms takes 15 to 25 minutes even when everything is prepared in advance. Judges misplace their forms, ask for replacements, or arrive late. The scoring phase itself is comparable across both methods since that time is determined by how long judges spend with each poster. But collection, manual tallying, and error-checking add up to 90 minutes or more in the paper workflow. With a digital system, that entire post-session phase collapses to near zero. Results are aggregated automatically the moment the last score is submitted.

For a team of two or three organisers spending hours on data entry the night before an awards ceremony is the difference between a stressful evening and going home on time.

The Risk Problem Nobody Talks About

Time is measurable. Risk is harder to quantify, but it is often the more serious concern.

Paper scoring systems have no audit trail. If a judge's form is missing, there is no way to know whether it was lost, never submitted, or accidentally discarded. If a result is disputed, there is nothing to check. If a form has a name or institution written on it alongside the scores, you have inadvertently created a non-anonymous judging system.

Digital systems designed for event judging eliminate most of these risks structurally. The platform enforces the scoring criteria by presenting them consistently to every judge. Submissions are timestamped. Incomplete evaluations are visible and able to be addressed. Results are calculated automatically with no human transcription step.

Why Generic Tools Are Not the Answer

It is tempting to reach for Google Forms or a shared spreadsheet as a middle ground as they are digital, free, and familiar. But generic survey tools were not built for judging, and the gaps show quickly.

The Real Question for Conference Organisers

Every conference organiser running a poster competition is implicitly making a choice about what their time is worth and how seriously they take the integrity of the award.

Paper-based judging is not just slower. It introduces risks that are hard to manage once they materialise: a disputed result with no audit trail, a missing form discovered too late to fix, a manual tallying error that crowns the wrong winner. Unfortunately these are not theoretical edge cases but regular incidents.

The technology to run a clean, fast, auditable poster competition exists and it is accessible to events of any size, from a 30-poster departmental research day to a 2,000-poster international congress. The only real question is whether the friction of the old way is still worth accepting.
